Automations: Shopify Flow, order tags and Klaviyo

Use Roadcase's Shipping problem found trigger in Shopify Flow, tag Shopify orders that have a shipping problem, and send problem events to Klaviyo flows.

In short: On Starter and up, every new shipping problem Roadcase finds can fire a "Shipping problem found" trigger in Shopify Flow, put a tag such as "Roadcase: late" on the order while the problem is open, and send a "Roadcase shipping problem" event to the shopper's Klaviyo profile. Set them up in Settings, Automations.

Shopify Flow

Roadcase adds a trigger called Shipping problem found to Shopify Flow. It fires once for each new problem, so a workflow can tag the order, alert your team, add a note or do anything else Flow can do. There's nothing to switch on in Roadcase: on Starter and up, open Shopify Flow, create a workflow and pick the Roadcase trigger. Settings has an Open Shopify Flow link.

Trigger fieldWhat it holds
OrderThe Shopify order, so Flow can read and act on everything about it
ProblemThe problem in plain words, like Running late or Probably lost
Problem typeA fixed code for conditions: not_shipped, stalled, carrier_delayed, failed_attempt, past_due, delivered_late or likely_lost
DetailsWhat Roadcase saw, like 2 days past the expected date
CarrierThe carrier's name
Tracking numberThe package's tracking number
Tracking linkThe carrier's tracking link

Use Problem type in Flow conditions, because it's a fixed code that never changes.

Order tags

Turn on Tag orders that have a problem and Roadcase adds a tag to each order while it has an open problem, then takes it off when the problem clears. Filter or search your orders by these tags in Shopify, or use them in other apps.

ProblemTag
Not shipped yetRoadcase: not shipped
Stuck in transitRoadcase: stuck
Carrier delayRoadcase: carrier delay
Missed delivery attemptRoadcase: missed delivery
Running lateRoadcase: late
Delivered lateRoadcase: delivered late
Probably lostRoadcase: lost
  • Tags go on or come off right away when you switch this on or off, then keep in step as problems open and close.
  • Roadcase only adds and removes its own tags. Your other tags are never touched.
  • Tags stay in English in every language, so filters and searches keep working.
  • This is the only thing Roadcase writes to your orders, and the only reason it asks for permission to edit orders.
  • Tags stay on your orders if you uninstall. Turn this off first to have Roadcase remove them.

Klaviyo

Send each new problem to Klaviyo and email or text the shopper from a Klaviyo flow instead of, or as well as, a Roadcase email.

  1. In Klaviyo, go to Settings, API keys and create a private key with Events write access. It starts with pk_.
  2. In Roadcase, paste it under Settings, Automations, Klaviyo and click Connect. Roadcase sends a test event to your own Klaviyo profile, so the "Roadcase shipping problem" metric appears in Klaviyo to build a flow on.
  3. In Klaviyo, create a flow triggered by the Roadcase shipping problem metric.
Event propertyWhat it holds
problemThe problem in plain words, like Running late
problem_typeThe fixed code, like past_due or likely_lost
detailsWhat Roadcase saw
order_nameThe order number, like #1042
order_idShopify's order ID
carrierThe carrier's name
tracking_numberThe tracking number
tracking_urlYour Roadcase tracking page for the package, or the carrier's link if your tracking page is off

If Klaviyo sends the shopper emails, turn off "Email shoppers about late and stuck packages" on Roadcase's Emails page so shoppers don't hear twice. Use Send a test to send another test event, and Disconnect to stop. Your key is encrypted and deleted when you disconnect or uninstall.

Good to know

  • Flow and Klaviyo get every new problem, not only the ones you've chosen to be alerted about.
  • Problems that already existed when you installed Roadcase don't fire the Flow trigger or Klaviyo events.
  • Sample orders never trigger automations.
  • Automations are on Starter, Pro and Growth. See plans and billing.
  • When you connect Klaviyo, Roadcase sends the shopper's email address and the package details above to your Klaviyo account. Flow and order tags stay inside your own Shopify store. See data and privacy.
